Event manager, event planner, event agency: what are we talking about? The profession, the tasks, what an agency really does in your place, how long it takes and how to choose.
“Event” is said in every possible way: a wedding, a concert, a product launch, an opening. But what does the word actually cover? And what does an event manager do, in Morocco, when organising your event? The question comes up often with our clients, and even on our social networks, where it prompts lively exchanges. Here is a clear answer.
What is an event?
An event is a moment designed to bring people together around a goal — celebrate, inform, thank, sell, move — at a set place and time. It is not just “a party”: it is an experience designed from end to end, from the invitation received to the memory kept.
Event manager, event planner, project manager: the same job?
The words vary; the mission is close:
- Event manager / event project manager: steers an entire project — goals, budget, suppliers, schedule, the big day.
- Event planner / wedding planner: term often used for private events and weddings.
- Scenographer / decorator: specialist in space and decor.
- Stage manager / technician: responsible for sound, light and video.
In an agency, these profiles work together around a project manager who is your single point of contact.
What an event agency does
- Understand the need: goal, audience, budget, constraints.
- Design: concept, theme, atmosphere, programme.
- Cost: a quote detailed line by line.
- Produce: venue, decoration, technical setup, catering, entertainment, photo and video, printing, invitations.
- Coordinate: a schedule, suppliers, briefings.
- Run the big day: set-up, reception, running order, the unexpected, dismantling.
- Extend: photos, film, debrief.
Why it is not “buying a table and chairs”
Renting equipment is a service; organising an event is a coordination profession. The difference shows on the day: when the microphone fails, when the caterer is late, when the weather changes, it is the project manager who planned the plan B and who decides. The guest sees nothing — and that is the sign the work is well done.
When should you call an agency?
- Your event has more than a few dozen guests.
- It requires several suppliers to coordinate (venue, sound, light, catering, decor, entertainment).
- It involves the image of a company or an institution.
- You lack time or do not want to handle the logistics.
- You want a controlled budget and reliable suppliers.
Conversely, a small simple event can often be organised alone, with a bit of method.
How to choose an agency
- Look at verifiable work and ask to speak to former clients.
- Check that the agency has its own equipment or trusted partners.
- Demand a detailed quote, line by line.
- Ask who will be present on the day.
- Note how well they listen at the first meeting: a good agency asks questions before proposing.
How much time should you allow?
The lead time depends on the event. A birthday is prepared in a few weeks; a gala, a show or a wedding takes several months. The earlier you prepare, the more choice you have of venues and suppliers. See our guides to corporate galas and weddings.
