A caterer is often chosen on the menu. Yet what makes the difference on the day is how it is served and the logistics around it. Here are the questions to ask before signing.
Is the format suited to the event?
A cocktail dinner suits an opening where guests move around; a seated dinner suits a gala or a wedding; a buffet suits a family celebration. The right format depends on the venue, the duration and the programme.
Can we taste beforehand?
For a wedding or a large event, the tasting is essential. It allows the menu, the quantities and the presentation to be adjusted.
How many people on service?
Ask how many waiters, chefs and bartenders are planned, and what they do: tray service, table service, buffet restocking, clearing. Insufficient service shows immediately.
What is included?
Tableware, glassware, linen, buffet furniture, drinks, ice, coffee, cake, travel costs: each element must appear in the quote, per person, to compare offers fairly.
How are special diets handled?
Vegetarian options, allergies, children’s menus, supplier meals: they must be planned from the quote and flagged to the service team on the day.
Has the venue’s logistics been checked?
On-site kitchen or pantry, access, power, set-up times: the caterer must visit the venue or receive precise information.
