A seminar is judged by what participants remember. For the content to get through, the technology has to go unnoticed. Here are the points our stage managers check before every event.
The room
Real capacity in theatre or table layout, ceiling height for the screen, natural light (and curtains for projection), access for equipment, set-up times. A prior visit avoids most surprises.
Sound
A sound system sized for the room, enough wireless microphones — with spare batteries —, a lectern microphone and microphones for audience questions. A sound check before participants arrive, never during.

Screen or LED wall suited to the distance of the back row, desk computer with all presentations loaded and tested, adapters for speakers who bring their own machine, videos checked with their sound.
Power
Available power, socket locations, secured power strips and extensions, cables run under cable protectors. In an unusual venue, plan a generator.
Running order and breaks
A timed programme, a presenter or stage manager who keeps to the schedule, coffee breaks ready before the announced time, a lunch that does not overrun. Delays always add up; allow a margin.
Coverage
If the seminar is filmed, plan the stage lighting, a direct sound feed from the desk and the speakers’ agreement. The images will serve internal communication and the next edition.
